What time should you leave Sussex for Heathrow Airport?
A practical way to calculate your collection from Brighton, Hove and wider Sussex, including the airline arrival target, M25 risk, Heathrow terminal, luggage and a sensible contingency.
The safest way to calculate your pickup
Worked examples without giving false guarantees
The examples below show the method, not promised journey times. The correct collection depends on the live route, exact address, terminal and the passenger’s tolerance for risk.
| Flight situation | Work backwards from | Then add |
|---|---|---|
| European flight at 12:00 | Heathrow’s two-hour guideline gives a 10:00 airport target, unless the airline says earlier. | Road estimate from the postcode, loading and a contingency. |
| International long-haul at 12:00 | Heathrow’s three-hour guideline gives a 09:00 airport target, unless the airline says earlier. | Road estimate, checked-bag preparation and a stronger buffer. |
| Early flight at 07:00 | Use the airline arrival requirement first. Collection may fall overnight. | Overnight roadworks risk, loading and terminal confirmation. |
| Family with several cases | Use the same airline target. | Extra loading time, correct vehicle capacity and family preparation time. |
Why Heathrow needs more road contingency than Gatwick
Most Sussex to Heathrow road journeys involve several major corridors rather than one simple local route. Depending on the starting point and conditions, the plan may use the A23, M23 and part of the M25, with the terminal approached from different Heathrow access roads.
Use Traffic England for live strategic-road information. A driver can respond to available conditions, but no operator can guarantee that a road will remain clear.
Heathrow terminal planning matters
Heathrow currently uses passenger Terminals 2, 3, 4 and 5. A wrong terminal costs more than a few minutes because the road entrances and buildings are separate. Check the boarding pass and Heathrow’s official terminal finder, then give the flight number when booking.
| Terminal | Planning point |
|---|---|
| Terminal 2 | Part of the central terminal area. Confirm the airline because neighbouring Terminal 3 is a separate building. |
| Terminal 3 | Also in the central terminal area, but requires the correct signed approach and drop-off. |
| Terminal 4 | Located on a different side of the airport with its own access route. |
| Terminal 5 | Has its own M25-side approach and extensive terminal complex. |
Heathrow currently states that a £7 terminal drop-off charge applies each time a vehicle enters a terminal drop-off area. Charges can change. Sussex Airports Taxis’ confirmed Heathrow quote includes the usual agreed journey costs, but passengers should rely on their final quote rather than an old article or screenshot.
Luggage, children and assisted travel
Checked bags
Bag-drop deadlines can be earlier than gate closure. Confirm them with the airline and allow for queues. Tell the operator every large and cabin bag so the vehicle is suitable.
Groups and large vehicles
Passenger capacity and luggage capacity are different. An 8-seater carrying eight people may not carry eight large cases. Supply the exact count and unusual item dimensions before confirmation.
Families
Add preparation and loading time. Sussex Airports Taxis does not currently provide child seats, so any lawful seating arrangement must be discussed before booking rather than assumed on the day.
Special assistance
Arrange airport assistance directly with the airline in advance and follow the meeting-time instruction you receive. Tell the taxi operator about a wheelchair, walking frame or extra loading requirement so suitability can be checked.
When should the Heathrow taxi itself be booked?
Once the flight is fixed, reserve the journey rather than waiting for the week of travel. A standard journey may be available at shorter notice, but early-morning work, school holidays, Christmas, larger vehicles, several addresses and accessibility requirements need more planning. An enquiry is not confirmed until you receive an accepted booking with the correct details.
For current Brighton service and pricing information, use the main Heathrow Airport taxi page. This article’s purpose is departure-time planning, not to create a competing sales page.
Booking a pickup after landing at Heathrow
An arrival transfer uses a different calculation. Book with the arriving flight number, scheduled landing time, terminal, passenger name and working mobile number. Flight monitoring follows the reported flight status, but passport control, baggage reclaim and customs do not have a guaranteed duration.
- Keep the phone switched on after landing.
- Follow the agreed meet-and-greet instructions.
- Do not leave for another terminal or car park without contacting the driver.
- Notify the operator if the airline changes the flight number, date or airport.
- For an airport-to-airport connection, disclose the onward flight and required terminal.

How early should I arrive at Heathrow?
Heathrow recommends three hours before an international flight and two hours before a domestic or European flight. Follow the airline if it gives a different instruction.
How long does Brighton to Heathrow take by taxi?
It varies with the exact postcode, terminal, route, traffic and weather. Obtain a journey estimate for the actual date and add a separate contingency rather than treating a typical duration as a guarantee.
Is Heathrow Terminal 5 reached the same way as Terminals 2 and 3?
No. Terminal 5 has a different road approach. Always give the correct terminal and flight number.
Can I book a Sussex to Heathrow taxi overnight?
Pre-booked overnight collections can be arranged subject to availability. Book early and check the calendar date carefully when the collection is shortly after midnight.
Does a fixed quote include Heathrow drop-off?
Use the final confirmed quote for your journey. Heathrow currently charges vehicles £7 for each terminal drop-off entry, and charges can change.
Can the driver guarantee I catch the flight?
No transport provider can guarantee a flight connection because roads, security, airline operations and passenger readiness are outside one operator’s control. Plan conservatively.
