Airport transport reality check

Uber vs a pre-booked airport transfer in Sussex

Why relying on an app is a weak plan for a time-critical Gatwick or Heathrow journey, and what a confirmed local airport transfer does differently.

Uber can be useful for a casual city journey, but an airport transfer is time-critical. Its own UK Reserve terms say that a “confirmed reservation” does not mean a driver has accepted it. Reserve can also add a premium, cancellation fees can be higher, and airport waiting is limited. For a flight you cannot miss, a confirmed local operator with direct human coordination, planned vehicle capacity and a real operations contact is the stronger choice.

Our position: this guide is published by Sussex Airports Taxis and we believe a confirmed local pre-booked operator is the better model for airport travel. We support that position using the current UK terms published by Uber and official airport rules, not invented stories. Uber may work, but “may work” is not the standard most travellers want before a flight.

Quick answer: choose the confirmed local transfer for a flight

Uber is acceptable for a flexible, low-risk trip

  • You can tolerate waiting or changing the plan.
  • Your passenger and luggage needs are basic.
  • The product and a driver are actually available.
  • Missing a particular arrival time has limited consequences.

For Gatwick or Heathrow, pre-book locally

  • A flight departure cannot wait for an app to find a driver.
  • The correct vehicle and luggage space are planned.
  • Meet-and-greet, flight monitoring and handovers can be agreed.
  • A real operations team can be contacted before and during travel.

QuestionUber / Uber ReserveLocal pre-booked transfer
How is it booked?Through the Uber app. Reserve availability and products vary by place and time.Through the operator's website, phone, app or email, then confirmed directly.
Is advance booking possible?Yes. Uber says Reserve can be requested up to 90 days ahead, where available.Yes. Advance booking is the core service model and early booking is recommended.
When is a driver confirmed?Uber's UK Reserve terms say “reservation confirmed” does not mean a driver has accepted; acceptance occurs when driver details are supplied. The operator confirms the journey and coordinates driver assignment. Vehicle or driver details may be supplied closer to travel.
How does pricing work?An upfront or Reserve estimate is shown, including applicable fees. Uber says it can change after significant route, duration, destination or stop changes.A journey quote is given from the information supplied. Material route, waiting, passenger or vehicle changes may require a revised quote.
Flight monitoringUber Reserve airport pickup supports flight details at selected airports and adjusts using the supplied flight information.Flight numbers are monitored for confirmed airport arrivals, alongside direct passenger communication.
Waiting after landingIncluded time depends on product and airport, with the app showing the applicable policy. The agreed waiting and parking arrangement depends on the booking. Passport and baggage delays should be reported.
Meet and greetTypically uses the pickup point displayed in the app. Product details vary.Inside-terminal meet and greet can be requested and confirmed where available.
Luggage and groupsYou choose from available app vehicle categories. The operator can review passenger count, suitcases and special-item dimensions before confirmation.

If plans changeThe in-app cancellation and amendment policy applies. Fees may apply.Contact the operator. Changes depend on notice, vehicle availability, route and terms.

The word “reserved” needs careful reading

Uber's current Great Britain Reserve terms state that Uber does not guarantee a driver will accept the reservation request. The trip is accepted when the customer receives written confirmation containing the driver's details. The terms also state that Reserve prices can be higher than on-demand trips and cancellation rules vary.

No operator can erase traffic or mechanical risk, but the service model matters. A confirmed local booking is planned as an airport job, not left as a marketplace request waiting for an independent driver to accept. If disruption occurs, there is a direct operations contact responsible for communication and for coordinating the next practical step.

Best question to ask any provider: “At what point is my journey actually accepted, what happens if the assigned driver becomes unavailable, and what are the cancellation and waiting terms?”

Airport pickup rules matter more than the brand

Gatwick North and South

Gatwick's official Express Pick-Up areas are inside the Short Stay car parks at both terminals, and charges apply. Long Stay offers up to two hours free with a terminal shuttle. Follow the exact meeting instructions for your booking.

Heathrow Terminals 2, 3, 4 and 5

Heathrow states that passenger pickup is not allowed on terminal forecourts. Pickup uses Terminal Parking or other permitted areas. The route and meeting plan depend on the terminal and provider.

Do not assume “outside arrivals” means directly at the terminal door. Airport access rules, car parks and charges influence the meeting point for app, taxi and private-hire services.

Seven checks before choosing

Compare at the same time. Prices change by date, time, route and vehicle. A screenshot from another day proves little.
Include airport charges. Confirm whether pickup parking, terminal access, tolls and waiting are included or additional.
Count luggage, not only passengers. Four seats do not guarantee space for four large suitcases.
Read the cancellation window. Reserve and on-demand products can have different fees.
Check who you contact. Decide whether app support or direct operator contact suits your situation.
Confirm the meeting method. Inside arrivals, car park and app pickup zones are different services.
Declare special requirements. Child seats, wheelchairs, instruments, bicycles and under-18 handovers need advance discussion.
Child seats: Sussex Airports Taxis cannot currently provide them. Bring an appropriate seat where required and tell us before booking so vehicle and luggage space can be checked.

Three real-world scenarios

One traveller, light luggage

An app ride may be simple and competitive. Compare the live or Reserve price with a local quote and check the cancellation terms.

Family with several cases

Advance vehicle matching and a direct luggage discussion may matter more than the lowest displayed price.

First international arrival

An agreed meet-and-greet, named contact and clear terminal plan can reduce confusion, especially where the passenger has no UK mobile data.

04:00 departure from a village

Request or book early. Whether using Uber Reserve or a local operator, verify that the journey has moved beyond a request to an accepted or confirmed arrangement.

Why a local airport transfer wins: FAQs

Is Uber always cheaper than a pre-booked airport taxi?

No provider is always cheaper. Compare quotes for the same date, time, vehicle, route, luggage and airport fees. The result can change by journey.

Does Uber Reserve guarantee a driver?

Uber's current Great Britain terms say a Reserve request is not accepted until written confirmation includes the driver details. Check the app and current terms for your journey.

Is a local pre-booked transfer guaranteed never to cancel?

No responsible company should claim that real-world disruption is impossible. Ask about confirmation, communication and contingency procedures.

Which is better for a flight delay?

Both Uber Reserve at supported airports and specialist airport operators can use flight information. Compare the included waiting time, parking policy and how you communicate after landing.

Which is better for eight passengers?

The name “8-seater” is not enough. Eight passengers plus eight large cases may require more luggage capacity than one vehicle provides. Send exact details before booking.

Can I pay a Sussex Airports Taxis driver directly?

Yes. Pay cash or card to the driver, or request a payment link.

Does Sussex Airports Taxis provide child seats?

No. We cannot currently supply child seats. Bring an appropriate seat where required and declare it before booking.

Compare a local airport-transfer quote

Send the route, date, flight number, terminal, passengers and exact luggage. We will provide a quote for a confirmed pre-booked Sussex Airports Taxis journey, subject to availability and our booking terms.
