Independent guide by Sussex Airports Taxis

Pay Heathrow
drop-off charge.

The official payment link, terminal guidance, deadlines, Blue Badge discounts and practical payment help. Everything organised around what you need to do next.

Pay on the official Heathrow portal

You will leave this website. The official drop-off service is managed by APCOA on behalf of Heathrow. Sussex Airports Taxis is an independent taxi company and does not collect these payments.

Portal unavailable? Open official Heathrow guidance.
Pay for a recent or future drop-off

The right vehicle. The right payment.

Open the official service

Use the payment button above. Heathrow permits payment before a visit or afterwards within the payment deadline.

Check the registration

Enter the number plate and check the vehicle details. Take care with letters and numbers such as O and 0. Select the appropriate recent or future visit option.

Pay and keep the receipt

Complete the required details and payment on the official service. Keep the email receipt and payment reference.

The deadline is not a rolling 24 hours. A Monday visit must be paid by the end of Tuesday, using local UK time. Do not wait until the last minute.

APCOA payment instructions

Choose how to pay

Online, by phone or with AutoPay.

Single visit or prepayment

Pay as a guest or through an account. Purchased trips normally remain valid for 12 months. Check the correct registration and any unused balance.

Automated phone payment

Have the vehicle registration and payment card ready. This is the official payment line, not our taxi booking number.

AutoPay accounts

Personal accounts can enable automatic payments. Business accounts support multiple vehicles and AutoPay. Check that the right vehicle and valid card are registered.

No payment machines in the drop-off zone. Heathrow accepts card payments for this service, not cash or cheques. Do not search the terminal for a drop-off ticket machine.

Terminal drop-off locations

Find the correct forecourt.

Follow airport signs for your departure terminal. Drop-off zones are not passenger waiting or pickup areas.

Terminal 2

Access from Constellation Way via the up ramp.

Terminal 3

Approach via Cosmopolitan Way and Camborne Road.

Terminal 4

Follow Stratford Road to the ramp and drop-off lanes.

Terminal 5

Access via Wayfarer Road and the ramp.

Blue Badge discount

Account approval and visit registration are different steps.

Eligible UK and EEA Blue Badge holders can apply for a 100% discount. Simply displaying a badge is not the complete registration process.

First, get the account approved

  • Create a Blue Badge account through the official service.
  • Provide badge details and the requested supporting images.
  • Heathrow says to apply at least seven days before the next visit.
  • APCOA advises that approval can take up to five working days.
Open official Blue Badge registration ↗

Then, register each visit

  • Log into the approved account.
  • Confirm the visit date and actual vehicle registration.
  • Register ahead of travel or by midnight the day after the visit.
  • Keep confirmation and ensure any replacement vehicle is covered.

An approved account alone does not register every journey.

Travelling by taxi? Use the actual taxi registration and tell the driver about the approved concession. If you need telephone assistance applying for the discount, Heathrow asks for at least 14 days before the drop-off. Call 0333 200 7459.

If approval will not be ready, APCOA recommends paying the normal charge rather than assuming an exemption. Read the official Blue Badge process .

Avoid the terminal forecourt charge

Park & Ride is the alternative.

Free short drop-off window

The published general drive-up tariff lists 0–29 minutes as free, with charges starting at 30 minutes. Use the free terminal shuttle and allow time for the transfer.

Do not assume the general free period is two hours. Special Blue Badge and Terminal 4 pickup arrangements have separate conditions.

Check Park & Ride tariffs and directions ↗

Know the shuttle arrangements

Published regular transfers run between 04:00 and 23:30, with buses approximately every 15 minutes. Transfer time varies by terminal.

Outside those hours, Heathrow provides an on-request transfer number: 020 8745 6261. Check current instructions before travelling.

Road signs may still use the former name, Long Stay.

Eligible UK and EEA Blue Badge holders have a separate two-hour free parking arrangement. Follow official call-point instructions to have it applied.

Different purpose, different payment

Drop-off is not pickup or parking.

Terminal drop-off

For setting down departing passengers. Do not wait, collect arrivals or leave the vehicle unattended.

Passenger pickup

Follow the pickup instructions for the relevant terminal. Terminal 4 Priority Pick-Up is a separate service with its own charges, not the terminal drop-off payment.

Car park visit

Terminal Parking and Park & Ride use their own tariffs and payment arrangements. A parking payment does not automatically cover a separate forecourt entry.

Official passenger pickup guidance ↗
Forgot to pay?

Act quickly. Use the published late-payment process.

Visit within the last seven days

APCOA currently publishes a late-payment assistance process. Email the vehicle registration and visit date within seven days of the visit.

[email protected]

Their guidance says a Parking Charge may still be generated. Once available, their team will reduce it to £7 and send payment instructions. Generation can take up to 15 days.

This is an operator-managed process, not an extension of the normal deadline or an automatic cancellation.

More than seven days or already have a notice?

APCOA says late-payment requests beyond seven days cannot be considered under this process. Follow the notice for payment or appeal.

Keep receipts, emails and evidence of earlier payment attempts. Do not assume buying another drop-off trip settles an issued notice.

Read the current late-payment policy ↗
Parking Charge Notices

A notice needs its own response.

Published non-payment charge

Heathrow publishes an £80 Parking Charge, reduced to £40 if paid within 14 days. Follow the amounts and deadlines stated on your own notice.

Official Heathrow drop-off PCN portal ↗

Paid already or want to challenge it?

Compare the notice with the registration, visit date and payment receipt. Use the official appeal process, supplying relevant evidence.

A general complaint is not a substitute for responding to a notice. Do not assume an appeal has succeeded without confirmation.

Practical payment help

Find your situation. Know what to do next.

These checks help you navigate the official service. They do not guarantee refunds, exemptions or appeal outcomes.

The portal cannot find my vehicle

Check the registration, particularly similar letters and numbers. If it still cannot be processed, use the official phone payment line or contact APCOA. Do not enter an invented or substitute registration. A failed search does not establish that no charge is due.

I paid for a future visit instead of a recent visit

Select the recent-visit option when applicable. APCOA guidance says a payment labelled as a future visit can remain valid for a visit within the preceding 24 hours. This does not replace the next-day midnight deadline. If your situation is unclear, ask APCOA to confirm coverage.

I paid against the wrong registration

Keep the receipt and contact APCOA with the correct registration and the one entered. Ask how to resolve the actual visit before the payment deadline. Do not assume the payment transfers automatically. Refund conditions may apply to an incorrect registration.

I paid twice or no longer need my prepaid visit

Request a review through the official refund route, including the receipt reference where possible. APCOA considers refund requests individually. Do not assume a request has been approved or that expired credit is refundable.

I need a receipt or cannot find the confirmation

Check the email used to pay, including junk folders, and any account transaction history. If still missing, contact APCOA with the registration, visit or purchase date and payment reference. Sussex Airports Taxis cannot issue an airport receipt.

There is a £1 hold on my card

Heathrow describes this as a temporary pre-authorisation used to validate the payment method, not the drop-off fee. It does not mean the £7 visit has been paid. Contact APCOA or your bank if the transaction remains unclear.

I have AutoPay but cannot confirm the visit was covered

Check that AutoPay is enabled for the correct vehicle and that the registered card is valid. Review the account payment status rather than assuming account registration alone settles the visit. Ask APCOA before making a potentially duplicate payment.

I changed or sold the vehicle on my account

Review and update the vehicle registration in the account. Do not leave an unwanted vehicle connected to AutoPay. Removing a vehicle does not cancel charges already incurred while it was registered. Contact APCOA about transferring valid unused trips.

I use a rental, borrowed or company vehicle

Pay for the actual vehicle and agree who is responsible. Do not assume the owner has AutoPay or that hire charges include the airport fee. Keep the receipt and check any separate rental or company administration arrangements.

I entered two terminals or returned to the forecourt

Each entry is separately chargeable unless an applicable concession covers it. One payment is not an airport-wide unlimited-entry pass. Make sure the payment or credit covers the number of visits actually made.

I only drove through or entered by mistake

The published charge is triggered by entering the designated drop-off zone, not by how much luggage you unload. Do not assume an accidental entry is free. Contact APCOA about your circumstances and follow any notice received.

My vehicle has a non-UK number plate

A foreign plate is not, by itself, a published exemption. If the registration cannot be processed online, contact APCOA for instructions. This guide does not claim a verified procedure for every plate format.

My Blue Badge account is approved but the visit is not registered

Log in and record the actual visit and vehicle before the applicable deadline. Account approval and a discounted visit are separate steps. If registration cannot be completed, contact APCOA promptly rather than assuming approval alone covers the visit.

I paid the normal charge before Blue Badge approval

Contact APCOA for a review with the receipt and relevant concession information. A later account approval does not establish an automatic retrospective refund. Follow the operator decision and keep its confirmation.

Are electric vehicles exempt?

Heathrow states that electric vehicles do not have an exemption or discount solely because they are electric. Do not confuse road-emissions compliance with the separate terminal drop-off charge.

Are there other exemptions or discounts?

Heathrow lists qualifying emergency, military and permitted operational vehicles, plus specific vehicle-class and service discounts. Eligibility depends on the recorded category or approved arrangement. Check the official list rather than assuming all commercial vehicles or airport workers qualify. View official exemptions .

Does the charge include ULEZ or other road charges?

No. Airport drop-off, parking and road-user charges are separate. Check vehicle eligibility and your route with Transport for London. Paying Heathrow does not settle a separate TfL charge.

Can I get out and escort someone into the terminal?

Do not leave the vehicle unattended on the forecourt. Use suitable parking if you need to accompany a passenger. The drop-off payment does not grant parking or waiting rights.

Does paying a taxi fare settle the airport charge?

A taxi fare and an airport payment are different transactions. Confirm the booking terms and who handles the vehicle visit. Do not separately pay for a taxi registration without checking with the operator first.

Does Sussex Airports Taxis take or investigate this payment?

No. We provide independent guidance and links. APCOA handles the airport payment, account, refund and enforcement processes. We do not require your card details or offer to cancel airport notices.

Refunds and unused payments

Keep the receipt. Use the correct request.

Protect your financial information

Use the receipt first. If the operator needs additional payment identifiers, follow its official instructions. Never send a full card number, security code, bank login or password to this guide.

Mobile-wallet payments may use a virtual card identifier different from the physical card. Check the official refund guidance if payment cannot be located.
