Many weddings need more than one category. A couple may use a classic car for the ceremony while parents, overseas guests and the wedding party use executive or larger vehicles. Separating these roles prevents one supplier being expected to do something it was never booked to provide.

Fix the non-negotiable time

Start with the ceremony time and the venue’s requested arrival deadline. Do not treat the ceremony start as the time the car should reach the door.

Add preparation and loading time

Dresses, flowers, photographs, children and several passengers take longer to board than an everyday journey. Add realistic time at the pickup address.

Check access and parking

Historic venues, barns, hotels and city-centre buildings may have gates, narrow lanes, loading restrictions or a separate guest entrance. Ask the venue for its transport instructions.

Add a controlled buffer

Build enough margin for traffic without arriving before the venue can receive passengers. Agree where the vehicle should wait if early.

Transport for the couple

If appearance is the priority, confirm the exact make, model, colour, registration, decoration and substitute-vehicle policy with a specialist wedding-car company. Ask how long the vehicle remains, whether photography waiting is included and what happens if the booked car develops a fault.

If the requirement is a calm modern transfer rather than a ceremonial car, an executive vehicle may be suitable. Confirm that the chosen vehicle has easy entry, enough dress room and a clean uncluttered boot. Guest transport that actually works

Guest transport fails when everyone is told “a taxi will be outside” without names, group sizes or collection waves. Create a manifest showing who travels from each hotel, who needs an earlier accessible journey and who is returning at each time.

Brighton and Hove wedding journeys

Brighton weddings can combine hotels, Brighton Town Hall, approved venues, the seafront and reception locations within a compact but busy area. Weekend traffic, major events, road restrictions and limited loading space mean a short distance is not always a short transfer.

Use the council’s official list of approved Brighton & Hove ceremony venues to verify the venue, then ask that venue for the correct vehicle entrance and waiting instructions. A venue’s public postcode may guide guests to the wrong gate for cars.

East Sussex and West Sussex venues

East Sussex includes coastal hotels, historic buildings, country properties and rural venues where access can involve the A27, narrow lanes or private drives. East Sussex County Council lists register offices and more than 85 licensed venues on its official finder. Airport transfers for wedding guests

Overseas guests need a journey plan that connects the flight to the hotel, not simply “Gatwick to wedding”. Supply the arriving flight number, terminal, passenger mobile, hotel name, full address, people and bags. Build time for immigration and baggage delivery.

Executive transport for suppliers, speakers and VIP guests

A discreet executive transfer can be useful for family members, corporate hosts, performers, speakers or important guests. The professional standard comes from accurate information and coordination, not exaggerated VIP language. Confirm the passenger’s preferred name, pickup contact, luggage, required arrival time and who can authorise a change.

For privacy, share only the personal information necessary to operate the journey. Do not circulate full guest manifests widely. One wedding coordinator or lead contact should hold the master plan.

Children, accessibility and formalwear

Sussex Airports Taxis cannot currently provide child seats. Families should bring their own suitable seats if required and check airline carriage arrangements when guests are flying. Include pushchairs and child-seat bags in the luggage count.

For accessibility, describe the actual requirement rather than writing only “accessible car”. State wheelchair dimensions, whether it folds, transfer ability, mobility aids and any assistance needed. Vehicle suitability must be explicitly confirmed.

Formal clothing can also affect capacity. A large dress, several bouquets or garment bags may reduce comfortable seating or boot space. Photos of luggage or equipment dimensions can help when the request is unusual.

Pricing without surprises

A wedding or event quote can be affected by distance, vehicle type, date, collection window, waiting, multiple stops, road charges and how long a vehicle must be retained. A simple one-way transfer should not be priced as a full ceremonial hire, while a vehicle held across several hours cannot be priced like an ordinary point-to-point journey.

Ask for the scope in writing: pickup and destination, included waiting, planned stops, vehicle category, payment method, cancellation terms, contact process and what happens after a schedule change. Never rely on a verbal phrase such as “all day” or “everything included” without detail.

Payment and booking with Sussex Airports Taxis

Can you transport wedding guests between hotels and venues?

Planned guest transfers can be requested. Provide the full itinerary, passenger groups, addresses, required arrival times and return schedule so availability and suitable vehicles can be confirmed.

Can you collect guests from Gatwick or Heathrow?

Yes, airport transfers can be requested. Supply the flight number, terminal, passenger mobile, hotel or venue address, people and luggage.

Can you wait during the ceremony or photographs?

Waiting must be requested and priced in advance. A point-to-point transfer does not automatically include a vehicle being retained for the ceremony or photography.

Can you provide child seats?

Not currently. Families should bring their own suitable seats if required and include them in the luggage and space plan.

How can we pay?
